Knowledge Collections
Group files, folders, resources, and items into reusable RAG scopes for your agents and chats.
Knowledge Collections scope what your AI can retrieve. A collection groups files, folders, resources, and individual resource items into a named, reusable set. Agents linked to collections search only inside those sets; agents with no collections search everything (global).
Collections are managed under Settings → AI → Collections.
How scoping works
There are three layers, from broadest to narrowest:
- Agent default scope - collections attached to the agent. Every chat with that agent searches these collections by default. An agent with no collections attached searches all embeddings (global scope).
- Chat attachments - extra collections attached to one specific chat session. Attachments are added to the agent's default scope, never replacing it.
- Mentions and context item - individual files, folders, resources, or items referenced inside a chat, plus the resource item a chat was started from. Their data and linked files are always included for that session.
Union logic
Rules inside a collection combine as a union: a content chunk matches if any rule in the collection matches it. Likewise, attaching several collections to an agent or chat widens the scope to everything covered by any of them.
Rule types
Each collection holds a list of rules. Every rule points at one thing:
| Rule | Covers |
|---|---|
| File | A single uploaded file. |
| Folder | A whole folder. Enable subfolders to include everything nested below it. |
| Resource | Every item of a resource - current and future items - plus their linked files when enabled. |
| Item | One specific resource item, plus its linked files when enabled. |
Files and folders come from Settings → Data → Files; resources and items come from your Resources.
Creating a collection
Open Collections
Navigate to Settings → AI → Collections and select New Collection.
Name it
Give the collection a Name (e.g. Project Alba knowledge) and an optional Description so colleagues know what it is for.
Add rules
Use Add file, Add folder, Add resource, or Add item to attach rules:
- Search for the file or folder by name and pick it.
- For a resource rule, select the resource - it automatically covers all of its items, including items created later.
- For an item rule, first pick the resource, then search for the specific item.
Toggle subfolders on folder rules and linked files on resource and item rules to control how far each rule reaches. Remove any rule with the cross button.
Save
Save the collection. It immediately becomes available in the agent form and in chat scope dialogs. The card shows how many rules it holds and how many indexed chunks it currently covers.
Attaching collections to an agent
- Navigate to Settings → AI → Agents and create or edit an agent.
- Find the Knowledge Collections section of the form.
- Select one or more collections - or leave it empty for global search across all embeddings.
- Save the agent.
Empty means everything
An agent with no collections attached is not restricted - it retrieves from the entire knowledge index. Select at least one collection whenever an agent should only see a subset of your data.
Attaching collections to a chat
Open the chat knowledge scope dialog for the session and attach extra collections there. They apply to that chat only, on top of whatever the agent already searches. The same dialog shows the session's context item (when the chat was started from a resource item) and any mentions added during the conversation, which you can remove individually.
See Chatting with Agents for the full chat workflow.
Editing and deleting
- Edit a collection to rename it or change its rules. Agents and chats using it pick up the new scope automatically.
- Delete a collection when it is no longer needed. Agents that used it fall back to their remaining collections - or to global scope if none remain. Deletion cannot be undone.
